Situation

BAPO’s key data challenge was accessing disparate data spread across multiple platforms, including Asana, Google Drive, Slack and BigCommerce. Each platform supports different business functions, resulting in data fragmentation and bottlenecks that hindered access to data analysis and actionable insights.

BAPO wanted secure, role-based, AI-driven data access to streamline visibility for its diverse team members — from developers to analysts to senior executives. This required establishing a unified persona-based, searchable knowledge base to enhance business function efficiency, like finance, operations and technology.

BAPO looked for a partner who could help it organize its disparate data sources for actionable, customizable insights. It chose to work with Rackspace AI.

According to BAPO’s technical director, Robin Dowman, “We have been using the internal functionality of Amazon Q Business and Amazon QuickSight. While functional, they require significant manual effort to aggregate and organize data effectively, both for internal use and client presentations.

“As our company grew, so did the tools we use, creating redundancies and data management inefficiencies. Information often needed to be duplicated across systems. Managing it all became time-intensive.”

Dowman added, “Our AI chatbot initiative aims to boost our productivity and ease workflows. By creating a tool adaptable to multiple data sets, we can offer solutions to our clients, allowing us to cater to enterprise-level needs with custom, innovative offerings.”

Solution

To create a customized AI-driven chatbot on AWS that would overcome BAPO’s data challenges, the  team provided expertise, standardized delivery practices, partnerships and a diverse skillset. Deliverables of the proof-of-concept solution created for testing included an intelligent AI assistant, secure user authentication and monthly revenue analysis.

For the project, Rackspace provided a range of resources and services, including:

  • Project management throughout the full project cycle.
  • AWS and software architecture solution expertise and advise.
  • AWS cloud-native application development for intelligent search.
  • Database design and visualization expertise and advise.

The team designed and implemented a custom solution powered by Amazon Q Business, enabling semantic search and a chat interface that integrates multiple internal data sources. It provides persona-driven contextually relevant responses, helping users quickly retrieve accurate information, significantly reducing the time spent on searches and enhancing operational efficiency.

“Our Rackspace AI team used its expertise to set up the Amazon Q environments and data lakes, so all we had to do was populate our data,” said Dowman. “Amazon Q’s native integration with multiple data sources and built-in chat and large-language models is invaluable. The ability to centralize and aggregate data with AI-supported summaries and access is a key part of the solution we need.”

The Rackspace AI team implemented role-based access controls using Amazon Simple Storage Service (S3) access control lists, ensuring that users can only access information relevant to their roles. It deployed Amazon Cognito identity pools for secure user authentication management to help safeguard data and bolster authorized access.

Rackspace integrated Amazon Q with Amazon QuickSight to create an intelligent document search and an executive KPI dashboard, along with guardrails for responsible AI for financial analysis and reporting. The comprehensive monthly revenue analysis feature empowered BAPO to visualize key financial metrics on the dashboard and make data-driven decisions that drive business growth.

“Amazon Q allows us to display and interact with our data in meaningful ways,” said Dowman. “We’re leveraging this functionality for our monthly financial revenue analysis. We're also exploring Amazon QuickSight's extensive visualization capabilities, which appear robust for our needs.”

At the end of the project, the Rackspace AI team delivered a walkthrough of the deployed solution to the BAPO team, followed by a formal handover. This included documentation and user guides to ensure a smooth transition and ongoing system use.

Outcome

Together, the partnership between Rackspace and BAPO demonstrated the viability of using AI to streamline enterprise search and reporting capabilities. The deployed solution on AWS achieved 100% accuracy on 20 test questions provided by BAPO, validating the chatbot’s ability to deliver contextually relevant responses.

The proof-of-concept implementation, leveraging Amazon Q Business and Amazon Q for QuickSight, is poised to transform its operation and boost employee productivity. Amazon QuickSight delivered advanced data visualization, enabling BAPO’s leadership to gain critical insights through AI-powered revenue analysis. The dashboards and AI-driven storytelling empowered stakeholders to make informed, data-driven decisions.

By significantly reducing the time employees spend retrieving data, the solution is projected to enhance operational efficiency by over 25%. The chatbot's personalized, role-based access controls ensure that users can access only the data relevant to their roles and permissions. This comprehensive approach not only improved internal efficiencies but also positioned BAPO for sustained growth by aligning operational efforts with strategic objectives.

Going forward, BAPO will roll out the chatbot to all teams. “Our plan is to aggregate data from multiple sources and use both Amazon Q and Amazon Bedrock to build a centralized information hub,” said Dowman. “This hub will automate communication and data sharing within our team, with potential applications for client-facing solutions in e-commerce.

Today, BAPO is well-positioned to integrate generative AI into its operations, enabling personalized customer experiences, smarter automation and innovative growth strategies. This further advances its mission to scale and optimize platforms to help merchants create dynamic digital experiences for their customers.
