Setting Up Your Android With Microsoft Exchange 2010


The following article below will get your Microsoft Exchange email account setup on your Android using the Activesync technology. To learn more about the Activesync please see the following article here; otherwise, let's take a look at the following steps below to get you going: 

1. After your administrator has purchased an Activesync license and assigned it to your email address, select the Email icon from the Home screen on your device .

2. Enter in your full email address and password and then select Next. On the following options screen select Exchange.

    

3. Enter your entire email address with a \ (backslash) at the beginning. Be sure that the "Use Secure Connection (SSL)" is checked and select Next at the bottom.

    

Note: Depending on what OS of Android you're running, if you have just the "Domain" as an option, you may leave this field blank.
 

4. Your device will then start "Checking Incoming Server Settings" and in the next screen select OK to "Allow it to remotely control some security features of your phone."

    

5. In the "Accounts Options" screen select all that apply to you. Give your account a descriptive name of your choice and select Done.

    

Note: The following "Activate Device Administrator" feature is optional.

Could you possibly provide steps to setting up a windows phone with microsoft exchange 2010?

I think I can do that. The problem with Windows Mobile devices is that they do not have an option to take screen shots. We try and provide images with our documents for an easier setup process. The document would be all text. I'll send you the document when I have it finished.

Hi. I'm on jelly bean android galaxy nexus 7. Exchange account is set up OK but seems to be an issue with syncing offline actions when I go online. Items deleted from the inbox remain in exchange inbox but not in the device even after syncing. The in boxes are thus not synchronised. Do you happen to know if encrypting the device or adding a password will resolve it? Thanks in advance for any suggestions.

Hey Kate,

That's a strange issue. I've seen issues in the past where it takes a few minutes to update any devices connected to the exchange server to sync up. I would try deleting the account and setting it up all over again. This will give it a fresh start. Remember that when making a change to any device connected to the exchange server, that it can take a few minutes to sync up. If after 15 mins the devices are still not syncing together, I would contact our support team at (888) 850-3994.

The Samsung Galaxy SIII is not syncing with my microsoft outlook e-mail or calendar.
When I go through the setup a Security Warning displays:
"Security Warning
There are problems with the security certificate for this site. The name of the site does not match the name on th ecertificate."

What do I do?

Hey Mike,

You shouldn't be receiving that warning if you're using "connect.emailsrvr.com" as the server address. You should be given an option to proceed, except, or allow. Do this and proceed with the setup instructions. Either way you shouldn't be receiving this warning when using the above server address.

Hey I really need help. I had my official exchange account synced on my Galaxy Nexus phone running ICS. However, once I updated to Jelly Bean (Android 4.2) the exchange account stopped syncing.

I have tried to see on forums if this is a Android issue but failed to find much info. Can you help as to what I can do here? Is there a setting I need to change as I now see a PORT 443 extra field that I think might be causing the issue.

Hey Sid,

Sounds like your phone is using an IMAP connection and not the Rackspace exchange servers. You shouldn't have the option to implement a port with activesync and exchange (unless you want to use an IMAP connection), only the server address. Trying setting up your phone again and make sure you're using exchange. Also, make sure your admin has assigned an activesync license to your account.

The solution for that customer is to use the Rackspace Exchange servers. When connecting via activesync users shouldn't mess with port numbers. Activesync configures everything for you. If you're experiencing sync issues, I'd recommend trying the above method or calling into our support staff at (888) 850-3994. It's difficult for me to determine what the problem is without actually having the device in front of me. Androids can be tricky; especially since they have so many different versions.

I have the same problem. Email and contacts sync, but not calendar. It didn't start until I upgraded to Jelly Bean. The port number entry shows up, 443. However, on my other devices this isn't the case. Is this a Jelly Bean problem?

It can depend on the device, but it does look like this can happen sometimes after updates. It can usually be fixed by going to the phone's settings, then Applications, then find the calendar program and hit the "delete cache" button. You might also need to remove then recreate the email account configuration.

I too have Android 4.2 and have the very same problem. I do select Exchange, then the phone says “retrieving account information” and in the next screen we get a configuration page with Port: 443. I have tried every combination with no luck connecting to the Exchange 10 server.

Hi there, I have a funny problem. I can sync my Exchange account if the wifi is active. However unable to if only using 3G network. I'm able to surf the internet, all other data access is fine. Only my email through the Exchange server is unable to sync via 3G. Any clue what the problem is?

I've heard of issues syncing over Wi-Fi that usually relates to a Firewall in place, but never the other way around. The memory is good on Androids so I know the device can handle it. If you're using the stock app for email, you may want to try using an application called "Touchdown." Android users seem to be using this app instead of the stock one for better performance. Try setting up your email again to see if the issue is taken care of; otherwise, call into to our support staff so they can test on their end.

Ooops - managed to solve the issue. The 'restrict background' was checked on for the email app. You will see it in data usage settings. Once unchecked, syncing email through 3G and wifi works now.

The same thing happend to me this week, all of a sudden i couldn't sync with my mobile data plan but could do so with wifi. thank you soo much cause it is working when 'restrict background' was unchecked on the email app (under data usage settings)! Thank you soo soo much! what a relief as no one could understand this problem or fix it!

the server you should be trying to connect to (if you're an Exchange 2010 customer) is "connect.emailsrvr.com" minus the parenthesis of course.

I have a HTC and had exchange service, it stopped and am having a problems getting it reactivated. I followed steps as indicated getting the following error.

Can you confirm that you're using Exchange 2010? You might be on a Exchange 2007 platform which is a entirely different server address and customized only to you. The "connect.emailsrvr.com" server address is the Exchange 2010 server address and is always up and running. Not being able to connect tells me it's either a wrong password or server address issue. Please call into our support line at (888)850-3994 so they can confirm what Exchange platform you're on.

Hi. I recently upgraded from my iphone to a galaxy note 2 and am trying to set up my school's email account. Everything was perfect when I set it up on iphone, but I seem to be following my school's directions perfectly and the phone sets up without any issues but I never receive any emails. when I go to the inbox, it just shows that it refreshes then stops but no emails appear. the weird thing is that i can send emails fine from my phone, but i dont receive replies to my device. checked email account on computer and receive emails fine. The problem is that you're using the school's server address (exchange.csupomona.edu) when you should be using a Rackspace server address (connect.emailsrvr.com). Also, do you know for sure if your school is on an Exchange platform? The reason I ask is because I see instructions for IMAP and POP as well and that is for a non Exchange platform. Please have your administrator contact out support team at (888)850-3994 to confirm what service your school has.

As far as I know, the Kindle doesn't have any problems. If you're on the Exchange 2010 platform be sure that you're using the "secure.emailsrvr.com" Rackspace server address. Other than that, make sure your password is correct when attempting to connect. If you still can't connect, please contact out support team at (888)850-3994

I have an exchange account and for some reason my contacts will NOT sync to my Galaxy S3. I have them in groups in my outlook and they show up on the webmail browser but I only get like 400 out of 1700 contacts what can I do to get them all to sync over? Is there an easy way to do this?

That's a tricky one, only because the way you have your contacts arranged; which is by groups. I would suggest contacting our support team to further investigate. Not being able to see your interface makes it a bit difficult.

For some reason, when I try to set this up on my Note 2 (latest version of android) I get 'Incorrect Username or Password'. This is only happening on my device. I have my outlook set up on my computer, and I am able to access OWA with the same credentials just fine. Also, i have my email set up on a 3rd party android app via IMAP settings and it works fine there as well. Ive followed these instructions to the letter, trying to set up the stock app on my phone to sync my calendars and it keeps telling me my user/pass is wrong.

I've noticed that some Android devices (depending on the OS) require a "/" or "\" when implementing the username. Which Android OS' require this back or forward slash, I'm not positive. Try a combination of "/username@domain.com or \username@domain.com" and see if that works. Also try just your username without the @domain.com extension as well. If you still have trouble, please contact our support team.

I have put in every possible combo of server & domain names to try and set up my exchange on my phone. I used to have my phone synched with my outlook at work, but then we updated Rackspace and my phone no longer will connect. It's android. Error Message:
Security Warning
There are problems with the security certificate for this site.
This certificate is not from a trusted authority.

My options are then Continue - view - cancel
It won't allow me to continue
View takes me to a screen that tells me there are problems with the security certificate for this site
Cancel takes me back to the set up

Anything I can do to get my phone set up?

You should be able to bypass the security warning by selecting continue, that's strange. At this point, I'd recommend calling into our support team so you can articulate exactly what model and OS you're using. They'll be able narrow down the problem once they have an idea of what the issue is.

I have a DroidX and my company just upgraded to Exchange 2010. I can't get mail and the error message states my version of software version doesn't support Exchange 2010

If you're unable to get a system update for the DroidX, you might ask your email administrator to check the "Include inheritable permissions from this object's parent" box for your account - that's reported to fix the issue for some DroidX users.

I know Motorola was also offering Touchdown licenses to DroidX owners at one time to help work around Exchange issues. You might send an email to "level3@mailwc.custhelp.com" to see if they're still honoring that program. Touchdown is a third-party Android email client.

Is there a setting that will allow you to delete messages from your phone but not from the server, so they don't delete from your computer?

What you can do is setup up your device through a pop access. Though you should be aware that setting up your device this way won't give you the "real time" sync you get with Activesync. Activesync is constantly communicating with the exchange server and there for delivers your mail to your device when it receives something. With a POP access, a connection to the server will have to be made manually or through certain time intervals. The downside to this is that if you're waiting for an important email that needs your attention, there's a risk of waiting or missing it.

I'd recommend calling into our support staff so they can go over this with you in detail.

Since upgrading to Exchange 2010 our Samsung Galaxy Note II devices (different accounts) and Galaxy Tab 7.7 device are stuck in a sync-loop of some sort where a refresh is conducted automatically every few seconds (shown by spinning refresh icon in mail app). This is resulting in a warm device, high CPU usage and battery drain. Is there something that can be done server-side? I have tried resetting the devices in every way possible to no avail. Devices are running genuine factory Android 4.1.2 on Note II, and genuine factory Android 3.2 on Tab 7.7, and is up to date. Galaxy Tab 7.7 also repeatedly asks to update security settings, but hitting the "OK" button does nothing but take you to the mail app. Again is this something that can be solved by you or is it up to Samsung to provide updates?

It's sounds like your smartphone is constantly making a connection to the server (fetching mail) and the result is the symptoms you're experiencing. There's isn't anything we can do on our end. The exchange server will push anything it receives out to any connected devices, so your phone shouldn't be fetching; the server does it for you. I'd recommend looking through your phone manual to learn how to turn off the fetch mail setting.

Thanks for your response. I think it is constantly fetching too, however the scheduling is set to "Push" and not Fetch, hence the massive confusion and frustration. Curiously during sync there is a small line at the bottom saying "Loading 0/xx messages" and it gets stuck there. The "xx" would be the number of messages available, so say if i am syncing the entire month's worth of email then it would display e.g. "Loading 0/269 messages" at the very bottom of the list. It looks like something is not going through and it is constantly retrying. But the message list is complete and available; all emails are up to date including flag and read status. And interestingly enough it is only applying to Samsung devices on the rackspace Exchange 2010 server. The same devices have no trouble connecting to gmail, yahoo or hotmail, yet the same Exchange server is working fine on iOS and HTC Android devices.

Currently the only workaround seems to be abandoning the push feature and setting the Samsung devices to a timed fetch or manual fetch.

I will try to contact Samsung for further advice but if you could have a deeper look into the issue from your side that would be a great help.

Talked to a few techs with the same device and they're not experiencing the issues you are. This could be particular to your phone only. An app was recommended called "Touchdown," but that is a 3rd party service. Unfortunately, there isn't anything we can do on our end that would solve your issue.

I have a Galaxy S 111 running Androis 4.0.4 I have been trying to set up my Exchange e-mail but am unable I constantly get the message "unable to connect to server" I know that I have the connection settings right because I was trying to set it up with the company's IT person. I do have my phone rooted, so before I take my phone in for service was wondering if anyone could help. I read a previous post about having he "restrict background" setting checked, but mine isn't. any clue???

because Android has so many different operating systems it's hard to determine where the problem is. Our exchange server is always up and running, it's just a matter of trying to get your device to connect to it. I'd recommend calling into our support staff so you can articulate over the phone exactly what's happening. Have your admin call us at (888)850-3994 so they can further investigate.

I've followed these instructions and entered \[name]@[domain].com , \[name] , /[name]@[domain].com , /[name] but always get an invalid username/password response (from connect.emailsrvr.com). I've checked all my details a dozen times. Don't know what else to do to setup my Exchange mailbox (hosted by Rackspace)

I just installed Microsoft Exchange Mail boxes for a client and also the Mobil Syn. I need to know how to stop that emails will vanish from Desktop Outlook once they have snycronised with the android smartphones. I also need to know what to set that mails are not deleted on the desktop outlook once you delete them on your mobile device.
And last i need to know if you recommend any app for android where its comfortable to run emails and calender with on one screen(app).
