Upgrading to Exchange 2010

Welcome to the Exchange 2010 upgrade portal. Here you will find information regarding your upgrade from Exchange 2007 to Exchange 2010. The topics below walk you through all of the required steps to successfully migrate to Exchange 2010.

Prior to your Migration

Prior to your migration, it is important to note that any corrupted data, prior to the migration, will not move. We don't anticipate any issues with the migration, but if you have any mission critical data, we highly recommend that you back up that data prior to the migration. You can backup your data by simply performing a PST Export using Outlook.

Autodiscover - It is important to setup your Autodiscover DNS record for Exchange 2010. Features such as, Automatic Outlook Configuration, Free/Busy Time for Scheduling, and Out of Office features will function only if this record is in place.

Complete instructions for setting up your Autodiscover record are located here:  Autodiscover and Hosted Microsoft Exchange

Outlook Web Access - The Outlook Web Access (OWA) tool will be available via two URL's.

Public Folders - Rackspace Exchange 2010 offers the use of Public Folders given that the total size of Public Folders does not exceed 25GB. If your Public Folders exceed 25GB, we will not be able to migrate your Public Folder data. As such, we recommend archiving or removing excess data to ensure we are able to successfully migrate this data. Public Folder permissions will not be migrated. Permission will need to be reset by your Public Folder administrator.

Post Migration: Mail Client & Mobile Device Configuration

Autodiscover - Once your migration has completed, an alert will appear indicating that Autodiscover is requesting to reconfigure email profile. Check the "Always Do This Option" option and also select the "Allow" button. Once you have done this, the Exchange 2010 mailbox will begin to re-sync.

Manual Configuartions - If you haven't setup Autodiscover, see the following link and select your email client from the available list to set it up your profile manually: Setup Up Microsoft Exchange Email Clients and Mobile Devices

Rackspace Auto Configuration Tool (Outlook 2007 and Outlook 2010) - The Rackspace Auto Configuration Tool is a tool that your users may download, which makes setup extremely easy! The tool only requires the user's email address and password to automatically configure Outlook for Rackspace Exchange.

Frequently Asked Questions

1. Do I need to change my MX records?

In most cases, you do not need to change your MX records. As long as your MX records are already pointing to Rackspace, no changes will be necessary. Our MX record details are located here:  Updating Your Mx Records

2. Could we migrate a portion of our mailboxes?

Unfortunately, no. We must migrate all mailboxes on the domain.

3. If Autodiscover is not setup, and I set it up now, will my users receive a prompt?

The reconfiguration prompt will occur in these situations…

  • The user is using Outlook 2007 or 2010.
  • The user set up their profile using Autodiscover
  • The Autodiscover CNAME points to autodiscover.emailsrvr.com at the profile was configured using Autodiscover.

4. Is there any downtime?

There is no downtime during the migration. Mail will be delivered without interruption. Users will be able to send/receive normally until their mailbox completes the migration.

5. How long does the migration take?

Unfortunately, there are many factors that affect the speed of the migration, so it is difficult to accurately judge the migration time.

 6. Do I need to wipe and re-activate Blackberry devices?

Yes. Blackberry devices must be wiped to ensure proper re-activation on the new Exchange platform.

7. Will I need to reconfigure my mobile devices?

Yes, however, the settings simply need to be updated. You can do this manually or via our iPhone auto configuration tool.

 8. Will I have access to my Control Panel during the migration?

No. During the migration, we do not permit access to the Control Panel.

Will non-exchange Mailboxes in the same Domain be affected? How will the current OST file be handled, should OST be rebuilt post migration?

Hey Anthony,

Rackspace Email mailboxes will not be affected at all. For Exchange users, there's no need to rebuild the OST file, our migrations team actually recommends making a .PST file of your mailbox just incase. They can also assist you with this process as well.

Where is the iPhone auto configuration tool?
How do I have my users use it?

You can find the iPhone auto-config tool here: http://www.rackspace.com/knowledge_center/article/simple-email-setup-iphone

Everything your users need to know is within that article. Please let us know if you need anymore assistance.

All my employees are running Apple laptops and mobile devices. We run Outlook 2011 so will the process work the same for my users? We had trouble before with the auto discover functionality.

Hey Ed,

Autodiscover works fine with Apple products. The Rackspace "Auto Configuration Tool" will not work for Outlook 2011, but if you setup Autodiscover, users should simply type in their email address and password and their account will be automatically configured. The auto-config tool for iphones works fine and you can view the procedure here: http://www.rackspace.com/knowledge_center/article/simple-email-setup-iphone

We are currently using the split domain feature between RackSpace MX servers and our MX servers. Will this functionality be preserved between the versions?

Hey Mike,

everything will remain the same. You're simply just upgrading to an exchange 2010 platform.

Is there an Android auto configuration?

Hey Jason,

at the moment we currently do not have an auto-configuration tool for Android. Though the Android platform is wonderful, it also contains some challenges due to all the different versions. This also doesn't mean we'll ever develop one, too.
