Manually Setting Up Outlook 2010 With Microsoft Exchange 2010

The following article will get your Microsoft Exchange 2010 Mailbox setup with your Outlook 2010 email client. Let's take a look at the instructions below:

1. First thing you'll want to do is click the Windows Start button, select Control Panel, and then select the Mail icon.

Note: Windows 7 users must search for the mail icon in the control panel section.

Note: Depending on what version of Windows you're running, you may need to switch to Classic View to find the Mail icon or it may state 32-Bit.

2. Select the Show Profiles button, select the Add button and enter in a name for this profile and select the OK button.

3. Select the Manually configure server settings or additional server types check box, and then select the Next button.

4. Select the Microsoft Exchange option and click the Next button.

4. Simply enter in "outlook" in the Exchange server address field and then select the Use Cached Exchange Mode check box. In the User Name box, enter in your entire email address and the select "More Settings."

5. Next, select the Connection tab, select the Connect to Microsoft Exchange using HTTP check box and then Select the Exchange Proxy Settings button.

6. Next, enter in "connect.emailsrvr.com" in the Proxy Server address. Select both the On fast networks and On slow networks check boxes and under Proxy authentication settings, select Basic Authentication.

7. Select Ok, ApplyOk once more, and then select the Check Name box in the Connect window, enter in the Password and select the OK button.

Note: You may receive a pop-up asking you to select your mailbox from a list. Select your mailbox and click the OK button.

8. Your name will then be highlighted and a line will appear under the username field which indicates your profile has been configured. Select Next, finish, and open up Outlook.

For Windows 7 users, step 1 is different because the mail icon is missing. If you search for 'mail' in the control panel, it will show up. All other steps are similar.

Hey Frank,

Thank you for the info. I'll be sure to add this as a note at the top of the article. All the best, Frank.

If I don't have Outlook 2010 at work, will this still work?

Hey Karina,

Although all of Microsoft's email clients are very similar, the setup process can slightly change for each version. We have a few other guides available to assist you with your setup here: http://rax.io/Jds8

keep getting outlook must be online or connected to complete this action

Hey Brian,

I confess, this error sounds pretty straight forward and may need the attention of our support staff. Please have the administrator of your account contact our staff at (888)850-3994. They can take a look at your configuration and see if there's anything unusual about it.

what password should we be entering? do we make a new password? because it wont check my name. the windows security keeps popping out asking for password.

Andrea, the password you should be using is the one your administrator assigned to your email account. One way to check to see if you have the correct password is to try logging into the following URL: https://connect.emailsrvr.com/

If you not allowed in, please contact your administrator and make sure they're provided you with the correct password.

I have a client using Rackspace email w/ mobile sync. They were trying to setup their local Outlook 2010 (win) and repeatedly get the error "Connection to Microsoft Exchange is unavailable. Outlook must be online or connected to complete this process"

Not too sure why your client is receiving that error; could be a variety of reasons actually. More than likely it's probably a small mistake somewhere on a step. Please call into our support line so they can investigate with you further. (888)850-3994
