SharePoint 101: Customizing Permissions and Groups

Last month, we gave you an overview of how SharePoint handles groups and permission levels. Today, we’re going to delve deeper into creating custom permissions and groups for Hosted SharePoint from Rackspace.  

Creating a Custom Group

SharePoint comes with three groups: Owners, Members, Visitors. Each group is connected with a permission level. Instead of giving access to each individual users, best practices suggests using groups to control access. By doing so, you can give an entire team the same access rights without manually adjusting permissions for each team member. If you need to create groups outside of the three preinstalled groups, follow these steps:

  1. Click on the Site Actions drop-down and select Site Settings.
  2. Under the Users and Permissions header, click People and groups.
  3. On the resulting page, click the New drop-down menu, select New Group, and enter the required information.

Creating a Custom Permission Level

Our Hosted SharePoint includes four preloaded permission levels: Full Control, Design, Contribute, and Read. However, your business may need a permission level that falls outside of the preloaded samples or combines elements of a few of the preloaded samples. To create or delete one of the preloaded permission levels:

  1. Click on the Site Actions drop-down and select Site Settings.
  2. On the next page under the Users and Permissions header, click Advanced Permissions.
  3. From the Permissions page, click Settings, then Permission Levels.
  4. On the next page select Add a Permission Level or Delete a Permission Level and follow the on-screen instructions.
